Service and Administrative Coordinator – Administration:

The position of Service and Administrative Coordinator is a full-time, entry-level position. The Service and Administrative Coordinator is largely responsible for maintaining the daily activities within the service and sales department as well as completing administrative duties as assigned. This role requires excellent customer service, communication skills and a knack for multitasking. You will be responsible for handling a multitude of service/supply inquiries from customers, serving as the first line of communication for our service technicians and assisting in general administrative duties for our sales and administrative departments. Maintaining a positive, and team-oriented work environment is key.

Primary Job Duties and Responsibilities:

  • Provide first level of contact and convey resolutions to customer issues
  • Promptly, accurately, professionally and courteously receive and evaluate incoming calls
  • Track, route and escalate unresolved calls to Service Managers
  • Meticulously maintain customer database, and update with any pertinent changes to contacts/address
  • Receive and process customer supply requests
  • Process, check and enter sales orders, ensuring accuracy of equipment ordered and workflow processes
  • Update equipment orders with equipment ID’s, serial numbers, customer location and general data entry
  • Schedule daily equipment deliveries and associated customer training
  • Maintain customer communication as needed regarding delivery and/or training
  • Generate necessary documentation for equipment pick-ups, moves, and cancellations
  • Schedule follow up customer training as needed
  • Schedule equipment moves, cancellations, and pick-ups
  • Monitor the daily ops of the service technicians and advise management when problems occur
  • Perform routine administrative duties and other reasonably related duties as assigned by managers

Minimum Qualifications:

  • Bachelor’s degree or 4+ years relevant administrative experience
  • Self-discipline with time and organizational management skills
  • Excellent oral and written communication skills
  • Ability to perform under pressure and work well in a team environment
  • Knowledge of Microsoft Office products
