Service and Administrative Coordinator – Administration:

The position of Service and Administrative Coordinator is a full-time, entry-level position. The Service and Administrative Coordinator is largely responsible for maintaining the daily activities within the service department as well as completing administrative duties as assigned from sales and accounting department. This role requires excellent customer service, communication skills and a knack for multitasking. You will be responsible for handling a multitude of service/supply inquiries from customers, serving as the first line of communication for our service technicians and assisting in general administrative duties for our sales and administrative departments. Maintaining a positive, and team-oriented work environment is key.

Primary Job Duties and Responsibilities:

  • Provide first level of contact and convey resolutions to customer issues
  • Promptly, accurately, professionally, and courteously receive and evaluate incoming calls and email correspondence
  • Track, route and escalate unresolved calls to Director of Service
  • Meticulously maintain customer database, and update with any pertinent changes to contacts/address
  • Process and track loaner equipment list
  • Receive and process customer supply requests via email, or phone
  • Monitor the daily ops of the service technicians and advise Director of Service when problems occur
  • Book and track travel/training registrations for Service Technicians and Director of Service
  • Assist Sales Teams with administrative paperwork as needed
  • Process and maintain sales paperwork
  • Update and track equipment sold list
  • Run monthly reports from database
  • Assist the Office Manager with collections calls
  • Send out collection emails
  • Assist with daily processing of receivables
  • Perform routine administrative duties and other reasonably related duties as assigned by managers
  • Other duties and projects as assigned

Minimum Qualifications:

  • Associates Degree, or 3 years administrative experience
  • Self-discipline with time and organizational management skills
  • Excellent oral and written communication skills
  • Ability to perform under pressure and work well in a team environment
  • Knowledge of Microsoft Office products
